Privacy Policy

1. General Policy

Nature’s Work respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, how long we retain it, and the rights you have in relation to your personal data.

Nature’s Work processes personal data in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as applicable.

We only collect and use personal information where we have a lawful basis to do so and only for purposes that are relevant to the services we provide.

2. Information We Collect

The personal information we hold is primarily information that you provide to us when making a booking or completing our booking form.

This may include information such as your name, contact details, emergency contact details, relevant experience, and information relating to medical conditions, health, allergies, medication or other circumstances that may be relevant to your safety when participating in mountain or outdoor activities.

We only collect information that is necessary and relevant for the purposes described in this Privacy Policy.

Where we collect health information or other information that is classified as special category personal data under data protection legislation, we will only process it where an appropriate lawful basis and special category condition applies.

3. How We Use Your Information

We may use your personal information to:

  • process and administer your booking;
  • provide the courses, activities and services you have requested;
  • communicate with you about your booking or course;
  • assess information relevant to your safety and wellbeing during mountain or outdoor activities;
  • deal with emergencies where appropriate;
  • maintain appropriate business, financial and accounting records;
  • comply with our legal and regulatory obligations; and
  • send you marketing communications where you have chosen to receive them.

We will not use your personal information for unrelated purposes without informing you where this is required by law.

4. Lawful Basis for Processing

Depending on the circumstances, Nature’s Work may process your personal information because:

  • it is necessary to perform a contract with you or to take steps at your request before entering into a contract;
  • it is necessary for us to comply with a legal obligation;
  • it is necessary for our legitimate interests, provided those interests are not overridden by your rights and interests; or
  • you have given consent where consent is the appropriate lawful basis.

Where we rely on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

Where special category data, such as health information, is processed, we will also ensure that an appropriate condition under applicable data protection legislation applies.

5. Sharing Your Information

We do not sell your personal information or routinely share it with third parties for their own marketing purposes.

We may share relevant personal information with third parties where this is necessary to provide the course or service you have booked, to protect your safety, to administer our business, or where we are legally required to do so.

This may include relevant instructors, guides, activity providers, emergency services, insurers, professional advisers, payment providers, IT service providers or other suppliers who need the information to provide services on our behalf.

Where third parties process personal data on our behalf, we take reasonable steps to ensure that appropriate data protection and security arrangements are in place.

6. Third-Party Websites and Affiliates

The Nature’s Work website may contain links to websites operated by third parties.

These websites are not under the control of Nature’s Work, and this Privacy Policy does not apply to them. We are not responsible for the privacy practices, security or content of third-party websites.

You should review the privacy policy of any third-party website before providing it with your personal information.

7. Security

We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

However, no method of transmitting or storing information electronically or on the Internet can be guaranteed to be completely secure. You should therefore be aware that transmission of information over the Internet is undertaken at your own risk.

8. Retention of Personal Information

We will retain personal information only for as long as it is necessary for the purposes for which it was collected, including to meet legal, accounting, insurance and other regulatory requirements.

Booking and financial records are currently retained for six years after the relevant course, where necessary for our business, accounting, tax, insurance or legal obligations.

We will periodically review the information we hold and securely delete or anonymise information when it is no longer required, unless there is a legitimate reason or legal obligation to retain it.

If you would like to ask us to delete or anonymise personal information, please contact us. We will consider your request in accordance with applicable data protection legislation. Please note that we may be required to retain certain information for legal, accounting, insurance or other legitimate purposes.

9. Marketing and Mailing List

Nature’s Work operates a mailing list which you may choose to subscribe to through our website.

You will not receive marketing emails from us unless you have subscribed to our mailing list or we otherwise have a lawful basis to send you such communications.

You can unsubscribe from our marketing communications at any time by using the unsubscribe facility included in our emails or by contacting us directly.

10. Your Data Protection Rights

Subject to applicable legal conditions and exemptions, you may have rights in relation to your personal information, including the right to:

  • request access to the personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of your personal information in certain circumstances;
  • request restriction of processing in certain circumstances;
  • object to certain types of processing, including processing based on legitimate interests and direct marketing;
  • request the transfer of certain personal information to you or another organisation where the right to data portability applies; and
  • withdraw consent where we rely on consent as our lawful basis for processing.

If you wish to exercise any of these rights, please contact Nature’s Work using the contact details provided on our website.

11. Complaints

If you have concerns about how Nature’s Work has handled your personal information, please contact us first so that we can investigate and try to resolve the issue.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent supervisory authority for data protection.

Further information about the ICO and how to make a complaint is available from the ICO’s website.

12. Information Required From You

Where personal information is required in order to provide a course or service, we will explain this at the point at which we collect the information.

Some information, particularly information relevant to health and safety, may be necessary to enable us to assess whether appropriate arrangements can be made for your participation in an activity.

You should ensure that the information you provide is accurate and kept up to date. If relevant information changes before or during a course, please notify us as soon as possible.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, the way we process personal information, or applicable legal and regulatory requirements.
